New Id Card

There is a single web form that you can fill out to request that you be registered as a new Fermilab User and that computer accounts be created for you. You can fill out this form from your home institution and you can pick up your Fermilab Visitor's ID card on your first visit to the lab. For US nationals it will normally take a few hours to one day for all of the steps in this process to be completed; you will receive several emails when your computer accounts have been created. For foreign nationals the process may take up to a few months. Your computer accounts will not be created until the process completes to start early.

Before filling out the form, read the following instructions:

  • The first step is to "Provide your affilliation". Using the pull down menu, you must choose "E-973 (Mu2e Muon to Electron Conversion)". Do NOT select your home institution.
  • The form also asks you for the name of a contact person at Fermilab. That person is Dee Hahn for non-employees and your group leader for employees. You can look up the required email and phone number fields in the Fermilab online phone book.
  • The form asks for your primary email address. If you do not fill this in, all email from the lab to you will be sent to your Fermilab email account. If you are not reading, or do not forward that account, you won't see any of it.

After you have your Visitor's ID number, on your next visit to Fermilab, stop at the User's Office (on the mezzanine level of Wilson Hall), to fill out some paperwork, and watch a safety video. They will send you to the Key and ID office in the basement to have your picture taken; immediately after your picture is taken you will be issued an ID card. The whole process takes about an hour and the office closes at 4:30 p.m. Plan accordingly and try to get to the User's Office early in the day.

You will need the actual ID card for after hours access to the lab site, as a prerequisite for accessing non-public areas of the lab site, and for getting a radiation badge.

Renew an ID Card

From time to time your Fermilab ID will expire. Well before the expiry date of your ID you should start the process to renew it; for foreign nationals this process may take several months so start early. If you let your ID expire, your computer account will be suspended unitl you renew your ID. Before filling out the renewal form, read the following:
